Community Concierge

Reports to: Concierge Manager
Start Date: Monday, May 6th, 2019
Job Overview:

As the community concierge, you are responsible for welcoming the public upon entrance, answer phone calls and respond to voice messages, review and follow up with emails, take care of client concerns, follow through with bookings for tours and/or meeting rooms, conduct tours occasionally, and keep staff and tenants informed of any activities in the building.

Responsibilities:
  • Greet guests as they arrive
  • Provide excellent customer service
  • Take Messages and forward to appropriate personnel
  • Record incoming and outgoing mail daily
  • Distribute mail to members and tenants
  • Maintain the community email to ensure all requests are taken care of
  • Take and provide meeting minutes where required
  • Inform tenants and/or members when visitors arrive
  • Keep track of office supplies and inform the concierge manager when they are low
  • Maintain overall safety and cleanliness of the reception area for staff and guests
  • Forward tenant concerns to the appropriate team member
  • Update events calendar and schedule meetings/tours
  • Attend morning meetings to update the team with your daily priorities
  • Assist the concierge team as needed
  • Attend promotional events
  • Manage and maintain priorities through Trello
  • Update tenants and members through Slack when building activities arise
  • Maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs
  • Prepare meeting rooms
  • All other duties as assigned
Community Concierge - Skills and Qualifications:
  • Currently enrolled in a post-secondary institution preferably in an administrative/clerical related program
  • Self-motivated with the ability to work independently and within a team environment
  • Demonstrate strong follow up, organization, and prioritization skills
  • Strong office administration, and proficient technical skills in Microsoft Word, Outlook, and Excel
  • Confident, positive and caring attitude in dealing with customer concerns, issues, and priorities
  • Efficient follow-up in a timely manner, and can effectively communicate verbally and in writing
  • Strong drive and proven track record for efficiency of operations
  • Consistent attention to detail and organization

Grounds/Facilities Assistant

Job Overview:

As the Grounds and Facilities assistant, you are responsible for being reliable, have an eye for detail, and assist with upkeep tasks such as repairs, physical condition of building and property, cleaning, and addressing tenant/member concerns. The role requires flexibility in the work schedule to attend events as needed.

Responsibilities:
  • Oversee lawn and plant care when required
  • General grounds maintenance
  • Report external building conditions in daily team
  • Review overnight security concerns related to property, discuss actions with the team
  • Work with the maintenance team to check all areas in the morning that are to be used during the day based on the events schedule and staff opening checklist. Periodic checks during the day may be required.
  • Support the Facilities Assistant with assembling furniture and repair building equipment
  • Address tenant and member concerns in a timely manner and report them to the property manager
  • Maintain organization and cleanliness of loading dock and storage areas
  • Monitor pick-ups of three stream compost, recycling, and waste.
  • Report any concerns
  • Provide loading dock contact, open doors, and receive goods as necessary
  • Assist with interoffice moves of furnishings and equipment when required
  • Coordinate with the concierge and events team when setting up for meeting and events
  • Support the Property Manager as required
  • Aid the maintenance team in servicing the various physical plant systems of the building
  • Support other company teams as requested by the Property Manager or property administrator
  • Assist Property Administrator in dealing with outside contractors
  • Learn Trello to track duties as assigned
Grounds/Facilities Assistant - Skills and Qualifications:
  • Current enrollment in a postsecondary institution with preference to groundskeeping/maintenance or related program
  • Ability to work flexible hours is a requirement
  • Basic computer and smartphone skills
  • Strong verbal and written communications skills
  • General knowledge of employee responsibilities under the OH&S act
  • Strong work ethic with the ability to work effectively and efficiently on all projects
  • Very personable, strong team player, and enjoy helping others
  • Consistent attention to detail and organization

Marketing & Sales Business Analyst

Marketing & Sales Overview:

The marketing and sales business analyst is responsible for providing and contributing to creative and insightful marketing strategies for NUVO network. This role works with the Co-founders, COO, and the team to assist in driving the marketing agenda. This is a creative, fun, and entrepreneurial role that allows the ability to apply your own ideas and acquire marketing skills while driving Marketing strategies.

Start Date: Monday, May 6th, 2019
Responsibilities:
  • Day to day management of social media and messaging
  • Work with the Social media team to build and drive brand awareness
  • Ensure brand and culture alignment across all NUVO platforms
  • Promote NUVO at internal and external events, conferences, etc.
  • Lead tours around the NUVO building to prospective clients and other stakeholders
  • Perform market analysis and research on similar industries
  • Define, operationalize, and implement a marketing strategy
  • Collect quantitative and qualitative data from marketing campaigns to identify new client markets and position of NUVO brand
  • Assist in marketing and advertising promotional activities (e.g. social media, direct mail, and web)
  • Understand and develop budgets, including expenditures, return-on-investment, and profit-loss projections
  • Design, and coordinate end to end marketing campaigns from start to finish
  • Work closely with the Sales Lead and Events Director
  • Collaborate with the Sales Lead to refine pricing strategy
  • Prepare promotional presentations
  • Attend management meetings
  • Actively participate in events that the company is involved in to gain a better understanding of the business and to contribute marketing strategies
  • All other duties as assigned
Skill and Qualifications
  • Currently enrolled in a post-secondary institution preferably in a Business/Marketing related program
  • Self-motivated, the ability to work independently and within a team environment with strong follow up, organization and prioritization skills Continue
  • Strong office administration and proficient technical skills in Microsoft Word, Outlook, Excel
  • Confident to network in external events and in promoting the NUVO Company Brand.
  • Confident, positive and proactive in dealing with priorities
  • Efficient follow-up in a timely manner and can effectively communicate verbally and in writing
  • Consistent attention to detail, organization, and be proactive in anticipating marketing needs
  • Ability to work independently with minimal supervision and can resolve conflict with ease
